We are seeking a Financial Operations Associate to provide operational support to our wealth advisor team. Under general supervision, the Client Service Administrator performs back office support tasks to open, maintain, and close accounts at multiple custodians.

Responsibilities Include:

  • preparing, processing, tracking and maintaining client paperwork;
  • monitoring the progress of the account opening process and working with clients and the custodian to resolve any issues;
  • tracking the transfer of assets;
  • processing client-related cash management and administrative requests (e.g., check requests, wiring funds, and change of address)
  • assisting with client billing;
  • updating client information in customer relationship management (CRM) software and portfolio accounting software;
  • other duties as assigned.

Required Education, Experience & Skills:

  • Bachelor’s Degree preferred.
  • At least 2 years’ experience in financial services.
  • Demonstrated experience opening accounts with custodians preferred.
  • Knowledge of different investment account types and account features.
  • Intermediate level MS Word, Excel, and Outlook and the ability to navigate easily through internet-based systems.
  • Intermediate skills on portfolio accounting software and CRM software preferred.
  • Excellent verbal and written communication skills.
  • Highly detail-oriented and organized, with great follow-through skills.
  • Great organizational skills and the ability to multi-task.

Responsibilities Include:

  • Driving growth through prospecting efforts, generating sales leads that will turn into opportunities and closed business.
  • Identifying centers of influence to build relationships and develop a network of potential referral sources.
  • Deepening Polaris Greystone’s relationship with your assigned custodial branches, as measured by increased lead flow.
  • Assessing prospects’ financial needs and objectives, selecting financial planning solutions that will fit the client’s risk tolerance and time frame, and presenting customized wealth management plans.
  • Presenting the company’s investment strategies and solutions at sales seminars throughout the region.

Required Education, Experience & Skills:

  • Prior business development experience in the financial services industry.
  • Disciplined self-starter with an ability to work independently and in a team environment.
  • Experience with public speaking and the ability to make group presentations.
  • The ability to explain investment options in easy to understand ways.
  • Strong PowerPoint skills and proficiency in Microsoft Office and CRM software, Salesforce preferred.
  • Organized, detail-oriented, and excellent time-management skills.
  • Series 65 or 66.
  • Professional designation of Certified Financial Planner (CFP®) preferred.
  • Bachelor's Degree preferred.
  • Possess a clean U-4 CRD history.
  • Valid California driver’s license; applicant must have own car.

Hours are Monday – Friday 7:00 a.m. – 4:00 p.m.
